MODBOT Privacy Policy

Effective date: November 7, 2026 · Applies only to the new version without the Claude/Anthropic API.

Scope and purpose

This policy covers the new MODBOT version that does not use the Claude or Anthropic API. MODBOT is a private administrative scheduling project for authorized Medical Imaging Inc users. Medical Imaging Inc is the operator for privacy inquiries. This policy does not state that this new version has been deployed or tested with the RamSoft graphical interface.

The original, legacy MODBOT version may use external AI services and is outside the scope of this policy. This policy must not be used to describe that legacy version’s data handling.

Information accessed and used

The new MODBOT version reads answering-service order emails from an authorized work mailbox through the Gmail API. It extracts patient identity, facility and room, exam details, scheduling priority, reason for the exam, dates, and requesting-party details to support scheduling through the RamSoft PowerReader graphical interface. Order information may contain sensitive patient information. MODBOT is not a clinical service and does not provide medical advice, diagnosis, or treatment.

Gmail access

MODBOT requests the https://www.googleapis.com/auth/gmail.modify permission to read order messages and relabel or file processed messages. This permission grants broader mailbox capabilities than read-only access. The new version is designed for reading and relabeling messages, not sending email.

Local processing and service providers

The new version works locally on the user’s Windows computer and does not send order text to Claude or the Anthropic API. Google provides Gmail and API access; scheduling information is entered into RamSoft PowerReader. Google and RamSoft services operate under their respective terms and privacy practices. The absence of an external AI API does not mean that the workflow is offline or independent of Google and RamSoft.

Retention and removal of access

This policy does not specify a fixed retention period. Records may remain in Gmail, RamSoft, or local files. Contact the operator with questions about retention or deletion of those records.

You can remove MODBOT’s access through your Google Account’s third-party connections settings. Removing access stops future Gmail API access after revocation takes effect; it does not delete records already in Gmail, RamSoft, or local files.

Google user data

MODBOT’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. This statement is an operator commitment, not a claim of Google verification, endorsement, or an independent compliance audit.
